Meeting was called to order by President Lynn Cooper.
8 Parents are in attendance.
The minutes were read by all. The minutes had a date of October instead of November that needs to be corrected. A motion to approve the corrected minutes was made by Jolene Berke and a 2nd by Ronda Jaeschke.
Treasurer’s Report: was given by Tammy Madsen.
Old Business
Marching baritone that we purchased earlier this year hadn’t been paid for yet, due to a miscalculation by the company we got it from. Mr. Mitchell has gotten the process straightened out. They thought we paid for it, but we have never sent any money. It will be paid for this month.
Uniform committee, we would ideally like 1 parent from each grade to help make this process run smoothly. Tammy Duncan will be there this next year to guide the committee. We need to have someone in place for this fall.
Uniform cleaning, the schedule was on the program last night, it will also be put on the website. Do not take the hat, or shoes.
The concert attendance was great! A few fliers were handed out, an article in the newspaper. Every little bit helps.
Fundraising Ideas
Scrip Cards – You purchase gift cards to businesses for the amount that you are wanting, there is no price increase or surcharge. Each business will pay a certain percentage of the gift card back to the band parent organization. We will be able to split the rebate back to the band parents into separate accounts, such as 40% to the general fund, 40% to student accounts, and 20% to the band boosters if we purchase the software. This software will also let us know how much each student earns toward their account. There is a 2 month free trial and then the purchase price for the software is $99 per year or $9.95 a month. We will need to set up a separate checking account, the cards are paid for as an automatic withdrawal from this account. Robbie Samuelson will be our person of contact here at the school, this has been approved by Dr. Dostal. The money has to be deposited before the purchase can be made. We may be able to have some inventory on hand but would need to probably start small until we know what our customers are going to purchase on a regular basis. The toughest part will be to get people to plan ahead to buy the cards they need approximately 1 week before they are needed, turn around time is 3 business days. We will also need to make sure we aren’t getting bad checks. They have a $30 charge for non-sufficient funds, but that doesn’t cover if we receive a bad check. We may be able to have a table set up at say a concert and then the attendees will be able to purchase the cards at the concert. There is a $7.75 charge per shipment for insured delivery by FedEx. Businesses will also run specials during different times of the year in which they offer a higher percentage of rebate. For business that don’t offer a gift card of their own, there is an American Express card that you can purchase. This is a way for people to contribute to the band without having to have any extra expenses. There is a way for you to receive a card immediately at a few businesses. The card comes to you in an email and you print off a code. If your printer isn’t working properly, you will have the opportunity to print it again, if the code is printed more than 1 time, it can only be used 1 time.
Marlene would be able to make the order and Robbie will receive the order. Marlene would then come in and sort the order and the orders can be dispersed by Robbie. The students can come pick them up, or parents can come pick them up at the office. Robbie has access to a safe in the office to keep the cards. We will need to come up with the percentages to divide the amounts into, how much inventory to have on hand if any. In Marlene’s experience with this fundraiser for her church, she has had no complaints about the fundraiser. Their customer services is great and the orders always come, just as they have been ordered, no shortages or incorrect cards. There are still many questions, so we are unable to set a plan in motion this evening. The executive board will meet and come up with a plan to hopefully be able to implement the plan next month.
A motion was made to go forward with the fundraiser by Jolene Berke.
A motion was to amend the previous motion was made to continue to promote the program to the band parents, and have the board set up a plan to implement the program was made by Ronda Jaeschke, a second was made by Tammy Madsen.
Directors Comments
Underclassman honors band: approximately 15 schools have nominated students for this honor band. Approximately 90 kids should be participating in the honor band. We are going to need volunteers to serve lunch and possibly a snack to the honor band participants. There is a fee for the students to participate, the fee will include a lunch. We just need some help serving the lunch. Monday, January 14th shortly after noon in the cafeteria at Central Elementary. The rehearsal and concert will be at the Merryman at 6:30 P.M.
Pep Band Schedule: There is a list on the website in 2 places, 1 under the students tab and another under the parents tab.
The 2nd annual alumni band will be this Friday. The game is against Grand Island Senior High at 7:45, please arrive at 7:00 so we will be able to get organized.
The Band has the opportunity to purchase 2 performance tubas. The Boosters have to money to purchase the instruments, however they will need help with the shipping costs. The price would be $350.00 total to ship. We will be able to trade in some of our older equipment to help keep the cost down. The company supplying the tubas will ship the instruments and then we will use the same shipping company to send the other instruments. We will need to have some help packing the old instruments for shipping or even if you have some supplies for the shipping. We are getting 2 concert tubas valued at $11,000 for $6,500.
NSBA – Duane Bierman at UNK Foster field is cleared for the date of NSBA next year. Mr. LeFeber and Duane are going to be putting together a joint proposal to host the NSBA festival band site here in Kearney. We would be able to split the responsibilities and profits with UNK. We have generally participated at the competition site. We would make some money plus we wouldn’t have the cost of traveling to Omaha. We would then be hosting 2 marching band things in the fall. We would be pushing for the Festival sight. Festival vs. Competition: Performing to meet a standard or performing for a placement in a group of bands such as 15th place of 20 bands. If we are selected to be the host site with UNK, then there are things that will benefit us financially. We would get a check from NSBA for hosting and we would be able to have a percentage ticket sales at the gate, all of the concessions sales, and all of the program sales. There is no guarantee at this point, but we would need the assistance of the band parents. There are many volunteers that are needed and we won’t be able to make this happen without the blessing /help of the band parents. There will be a lot of work involved.
Uniform turn in: We would like to turn them in earlier than last year. Liberty cleaners would like them all within the 2nd week of January. The 3rd week the clean uniforms will come in from the kids. The 4th week of January and the beginning of February, the dirty uniforms will come in from the kids. After that fines and fees will be sent out from the office. This will be on the website also.
A motion was made to approve payment of the shipping fees of $350.00 for the 2 concert tubas by Ronda Jaeschke, a second was made by Brent Meyer. All were in favor.
Big Band Dance: Friday February 1st – from 7:00 to 10:00. We have a couple of people who have volunteered, but they are unable to fully commit. We need to have someone in place to chair the event. Arlene Jones was the chair last year and Robbie Samuelson the year prior. Jolene Berke volunteered to chair the Big Band Dance.
Runza Night: We will have both stores this year since we were unable to host an evening last year. January 21, February 11, 18, 25 are our options, these are all Mondays. Lynn requested no Wednesdays, but we could reevaluate and request a Wednesday if we think that would work better. We bus the tables and advertise the band. We do have 2 banners so we could display a banner at each location. We will see if February 11th will still work for Runza.
