General Meeting Minutes – January 2010

The meeting was called to order by President Jim Payne.

Welcome to all. Thirty members were present.

The minutes were approved with the clarification that the motion in December regarding the designation of the Runza Night proceeds will go to the general fund. The motion was made by Wendy Kreis and 2nd by Ann Snider and all approved.

Shawna Skaggs reviewed the report through 1/10/10 including the final payments for the band trip to New Orleans. Beginning balance of all accounts $17,278.54. Income: checking interest- $3.01; savings account interest- $28.16; Sugar Bowl trip payments- $ 5,262.44; gift wrap- $ 399.56 and B-ball concessions- $2,211.75 (income total- $7,904.92). Expenses: $4.40 postage; $ 4,050.00-tips and tours; student account deductions- $ 1,343.00; (expenses total- 5397.40). Total of all funds $19,786.06. The report was filed.

Concessions-Jim Payne will continue to fill the time slots for BB concessions per e-mail requests and response.
Runza Night-due to a current Tuesday promotion at Runza during January and February it was not possible to hold the annual January meeting/fundraiser at Runza on a Tuesday. The board had also discussed how noisy the restaurant is and so opted to hold the Feb. general meeting and Runza Night separately. The next band parents meeting will be Tuesday, Feb. 2nd at KHS and pending confirmation the Runza Night (South) will be Monday, Feb. 15th.
Big Band Dance-is scheduled for Saturday, May 1st. The monies raised from admissions help fund enrichment experiences for the Jazz Lab and Ensemble students. There are a couple of jazz clinics the directors hope to have the students participate in prior to the big band dance plus the weather has been challenging. Fancy deserts and coffee/tea are served. Last year the cost of a desert was $3.00. Wendy Kreis stepped down as chair related to the date change and Ronda Jaeschke volunteered to chair.

Band Room Project-as part of his Eagle Scout requirements Adam Zheng will be adding doors with locks to the shelves in the band storage room. It will need to be completed in February. The estimated cost is approximately $550.00 and he asked the directors if the band parent’s organization might be able to donate some funds to help support this project. Ann Snider advocated that we support Adam with this project. Deb Gibbs also asked if members had scrap wood that could be donated to please contact her husband Terry as he would be helping. Discussion included donating 50% of the Runza Night proceeds toward this project and after further discussion Wendy Kreis motioned that all the proceeds from Runza Night be donated toward Adam’s project with Seandra Foryth 2nd and the motion was carried. If needed, the board felt that the monies could be advanced to Adam.

Band Banquet-Saturday, May 8th. The junior parents organize this event and will have a short gathering following the end of tonight’s meeting.
Summer Fundraisers for student accounts-if the association wants to consider any food booths for the fair, charges and requirements etc. will need to be checked out. Discussion included an outside food stand and maybe hitting the major days, Thursday-Sunday. If we serve Coca-Cola they will let us use their stand. Serving lunch was mentioned and or a sundae/pie bar with ice cream. Robbie Samuelson will be approached about checking this out as she did so last year. Band Camp will be held August 2nd to the 6th so this should not interfere with the fair. Leadership Camp is the week before.

Photos for purchase- Hinrichs Photography took music group photos for the yearbook including: Jazz Lab, Jazz Ensemble and Concert and Symphonic Bands. Prices for an 8×10 are $12.00 and 5×7 will be $10.00. Envelopes were available at the meeting.
New Orleans trip- was reviewed and photos were shared via a slideshow. The directors felt that this was the best trip they have experienced with the students since being at KHS. Not only did the students experience the Sugar Bowl where 3000+ students participated, they were able to experience the culture of the area including foods, architecture etc. It was an overall great educational experience and the directors were complimentary of the student’s behavior and politeness. There are sites on U-tube that show the bands and there is possibly a commemorative DVD for purchase that the directors will look into.
Band concert- the next concert will be March 8th.
District Music will be in Grand Island this year. The directors will probable send solo and small groups this year rather than the large bands.
