The meeting was called to order by President Ronda Jaeschke.
Welcome to all. There were 63 members in attendance.
Reading of the Minutes
The minutes from May were reviewed. Motion to approve the minutes as submitted by Ann Snider and 2nd by Arlyn Hinrichs
Treasurer ’s Report
The Treasurer’s report was presented by Marci Ochsner and filed. Money will only be taken out of the students account if it is requested, it is NOT taken out automatically.
Tammy Madsen has been volunteering as the Treasurer-elect. Marci Ochsner motioned to accept the nomination of Tammy Madsen at the Treasurer elect and 2nd by Lynn Cooper. The motion was carried. Tammy will be in charge of the student accounts. Mr. Mitchell has kindly offered to be the go to person if you have inquiries about your students account. The students can stop by the band office after school. He will have a spreadsheet that will have the information for your student.
Committee Reports
Cruise Nite- Most of the products used were donated, so almost all the money brought in was profit. We tried to keep the concessions going into the evening, but it didn’t go over very well, most people brought their own refreshments in the evening. We did have 2 separate locations this year, the 2nd location just had hot dogs , nachos, and drinks. The 2nd location didn’t work as well as we had hoped. Placement will be different each year all of the other vendors pay $500 to even get a spot. Food inspection went pretty well.
Band Camp-Oranges didn’t go over well at all this year, but grapes were a big hit. Band Camp was a success!
Spirit Items-We are at the mercy of the Buckle and how soon they can get our orders processed. Everything looks like it will be ready to hand out the first home football game. We will have someone for the first 2 games handing out orders. After that we will rely on the directors to get the orders to the students to bring home.
Window Decals-have been ordered and seem to be on schedule.
Pride Buttons-all of the pictures will be taken by Friday. Robbie is asking for assistance getting the borders on the buttons with photoshop, she doesn’t have the program.
Senior Flags- are ordered, we are hoping to have them back later this week, then the grommets will need to be placed so they can be easily hung on the stands. We are looking for 1 to 2 parents that can help get the flags on the field for the games.
New Business
Amendment to the Articles of Association- Article VII- Technology Related Items was reviewed.
The President and President-elect have keys to the fire safe which contains a sealed envelope with the passwords to the website. The safe will be kept at the Presidents house. There was some discussion that we might want to have another set of passwords for a total of 2, kept in separate locations.
We will make Article VII available on the website so band parents can read it as necessary.
We need to make sure the Bearcat store from the old website is taken down.
Fundraising Activities
Harvest Festival- Main Street Kearney with Dick Reiter-Concessions opportunity only open to nonprofit groups. They also will make sure the vendors are all selling different items. Sept. 22 4-9 P.M. just before UNK homecoming. We need to let them know by Sept. 14. We weren’t able to get a chairperson, due to the short timeframe. Wendy Kreis would volunteer if we are able to do this next year. We will revisit the idea next May, with the possibility of obtaining donations at the same time as Cruise Nite. There was also some discussion about making this a student account fundraiser.
Papa Johns- Pick 1 day a month and this can be done every month and 15%of all sales on that date will go to your organization. We would just need to do the advertising ie. Newspaper Ad, Radio Ad, Flyers sent home with students or to work with parents. Mr. Mitchell will check with the administration to see if they will allow the students to advertise for a private business. This would NOT be able to be a student account fundraiser. There was some discussion that we wouldn’t have to have the students advertise for the business, it would be the band parents, possibly through the website and face book to get the word out. Dorothy Clark motioned to develop a plan to get this started possibly by Christmas and the 2nd by Arlyn Hinrichs. The motion was carried.
Applebees has a similar fundraiser that will pay 10% on Tuesdays when someone brings in a flyer.
Hoop Heads – sweat band with an upside down basketball hoop. Can embroider a logo. They were originally seen at a pro basketball game. We will be charged $5.00 per hoop head, and then we could sell for what we want. There was some discussion as to use for a student account and do we take orders ahead of time. There seems to be a quick turn around time, maybe within a couple of weeks. We will have to make sure that if it is a student fundraiser, that it doesn’t take place of the 1 fundraiser per year besides cat cards. Discussion was tabled until we find out for sure what are options are.
Cat Cards- The students will sell these discount cards for $5.00 each. The students will prepay with a check for the cards they are taking. The check will not be cashed until we are given the OK because of the cards sold. Any unsold cards can be returned and reimbursed as needed.
Volunteers needed
Water Coordinator- Paula Nesiba and Pam Glendenning
Bus Sponsors- a signup sheet was provided after the meeting, no siblings allowed. UNK Football Concessions – a signup sheet was provided after the meeting 2 time slots maximum per student in band.
Basketball Concessions/Football Cleanup – Tiffany Young and Todd Ochsner are the chairs this year. Becky Michel discussed responsibilities; no signup necessary for stadium cleanup, concessions signup will come later.
Pit Crew – 7 to 8 people are needed , sign-up with Ed Uden after the meeting Kearney Hub Ad
Directors’ Comments
Mr. LeFeber has a wood and metal project he is working on for the Pit. If you would like a project, please talk to him. The final band concert in May will possibly be moved to the amphitheater at Yanney Park. Any feedback is welcome. Everyone is experiencing the budget crunch so we are looking at ways to boost the budget. Band boosters; band parents and businesses to sponsor/donate for challenges during the year; music, instruments, uniforms. Make sure they get the recognition through lists that are published on the website. If you are a fundraising guru please talk with the directors.
If your student is using a school instrument, they need to fill out the contract they received during band camp and pay their rental fee. If the contract isn’t filled out prior to the first football game they will NOT be allowed to march.
Trip to Washington D.C. May 20th through May 24th if you haven’t gotten signed up yet, you still can go on the trip. Payment schedule is:
- September 1st – $300
- November 1st – $300
- February 15th, 2012 – $300
- April 1st, 2012 – Remainder of the trip cost
Total trip cost is about $1200-$1300 which includes air fare, ground transportation, and some meals.
Wendy Kreis motioned to adjourn the meeting. 2nd by Todd Ochsner and all were in agreement.
