Welcome everyone!
Meeting was called to order by President Lynn Cooper.
17 Parents are in attendance.
A motion was made by Todd Oschner to waive the audible reading of the minutes and a 2nd by Lori Koeppe. The minutes were read individually. There were no correction to the minutes, they are approved and will be filed.
Treasurer’s Report: Tammy Madsen gave the report. The report will be filed. We don’t have the payment for stadium cleanup, so the concessions/cleanup fundraiser is unable to be completed.
Fundraiser: Scrip Cards; 501(c)3 information has all been turned in. A request was made to ensure inforation was all correct according to the IRS before it was forwarded on. Alice from IRS call and said it looked good. We don’t want to start the scrip fundraiser without the non-profit status from the IRS. This fundraiser is still on hold.
Scholarship applicants – We will announce the winners at the band banquet, which is being held before Honor’s night.
Band Banquet: May 4th set up will begin at 2:00. The meal will be pot luck at 6:00 P.M., we would love people to come help set up and decorate. Photos are needed for the slide show, we want more fun pictures.
Runza Night: We don’t have the money yet for the evening or a total that was earned. Lynn is going to look into this to hopefully be able to close this fundraiser out.
We are looking for names of people that worked UNK concessions. Marci and Todd Oschner and Lisa Meseure.
New Business
Cruise Night July 20th 2013: This seems to be a fundraiser that maybe has run it’s course. We are making less money each year due to several reasons. We are getting fewer donations, the donars are getting asked for donations from many different organizations. There are many more vendors allowed downtown during the show and shine, so our busiest times in previous years are pretty slow. Darin and Lisa Meseure have come up with several ideas that we could implement.
- Option A: Keep the stand as we have in the past, reducing the amount of supplies we have on hand/purchase. We cannot be guaranteed a better position, other vendors pay for their vending spot. Reduce the amount of workers on hand.
- Option B: Carstock concessions at the Mona parking lot. 2:00 P. M. – 12:00 so we will have a longer time to sell and there will be different crowds. The one that comes to the show and shine and then the one that comes to the concerts in the afternoon and evening. We won’t be able to offer a menu that competes with Roosters BBQ, so candy and ice cream or popcorn. We will have about the same amount of space but we will have a fee of $125.00 for this space, which is ½ price.
- Option C: Diversify and simplify; approach a few stores along Central Avenue to have a smaller free space. We would have an increased presence. We wouldn’t have to have the same menu at each stand/table about the size of a card table with a little shade.
- Option D: Step away from this fundraiser for a year or 2.
A clip board was passed around to get a preliminary list of volunteers to work Cruise Nite. This isn’t necessarily signing up for a position, but rather a place to be able to fall back to if we should happen to need volunteers for a particular shift. We will need a couple of volunteers as co-chairs this year that would be head co-chairs next year.
Marci Oschner made a motion to have the board decide which form the Cruise night fundraiser to pursue this year. A 2nd was made by Todd Oschner.
Directors Comments
Deli International: We just finished this fundraiser and there didn’t seem to be as much sold as in years past. This could be in part because the fundraiser is held over spring break, so students aren’t wanting to sell things over their break. Some of the middle schools just finished selling Deli International or a fundraiser that is like Deli International, so the market could be already drained for this product by the time we start selling.385 items this year compared to about 700 last year. Some kids sold very well, other sold only a few items. Delivery times will be posted on the website or through an email blast as soon as we know.
Butterbraid vs. Deli International: In the beginning this was a great fundraiser, then they began raising their prices and still having them available in stores for a much cheaper price.
Coffee: We have visited this before now there are a few incentives such as a personalized label. You didn’t have to sell within a certain time frame, something that can be ordered year around. Some of the feeling was that you do have some people who are willing to pay that price for coffee and others are not. It may help if they also offered hot chocolate.
Lettering: In order to letter the students will need to track their points, they need to accumulate 30 points. There are a variety of different venues to earn these points. This list can be found in the Student Handbook, however this list isn’t complete. If your student has something they are involved in and think it may earn some points, they can definitely talk with the directors.
Chicago trip: Informational meeting on April 29th at 7:30. in the band room. May 15th the $100.00 deposit is due. We will discuss the agenda, commitment forms will be handed out. They can then be returned on May 15th with the deposit.
Uniform turn in: Uniforms should be turned in.The uniform committee would like to get their portion wrapped up.The committee is coming up with a plan to expedite the process next year.
Next year’s marching show: Heroes Fallen, Not Forgotten- a tribute to the men and women that have served in our armed forces as well as those that have gotten caught up in some of the National tragedies. The music weaves American Folk Songs through the show. The composer is Key Poulan, you can look up the music on the internet if you would like.
Drum Major and Leadership tryouts will be at the end of April, In May we will be doing drumline auditions.
Band Camp: July 29th – August 2nd the first week, August 5th – 9th with the exhibition on the 9th.
Volunteer Roles
Executive Board Members needed for next year: President Elect, Treasurer Elect, and Secretary. The President Elect will be a 3 year commitment, the Treasurer Elect and Secretary are both 2 year commitments. If you have any questions about these positions, or if you know someone that would be a great fit for these positions, please see Lynn. Nominations will be held in May.

Uniform committee, we would ideally like 1 parent from each grade to help make this process run smoothly. Tammy Duncan will be there this next year to guide the committee. We need to have someone in place for this fall. You do not need to have sewing experience, someone that pays attention to the details. This would be during band camp/football season/marching season. Class of 2014, Lauren Harbols; Class of 2016, Doreen Sheen and Sonja Lindsey have said they are interested. We are still looking for a Junior and Freshman representative.
Concessions Stand manager/Stadium Clean-up: This is a 1 year commitment and the opportunity to make money for your students account
Bearcat Marching Festival Chairperson: Tracie Falconer took on this task this year and did a wonderful job. Tracie has agreed to organize this again next year.
Band Banquet: A junior parent that would be interested in organizing this event.
UNK Concessions: This is for UNK football games and some of the games generally fall on the marching competitions dates. We may need to sign up for fewer games in the upcoming years, so Tim Higgins will be able to sign up other groups as needed.
Web Team: Currently we have 1 person doing most of the updates. It would be nice to have someone to assist her, if you know of someone that has experience or would be interested, please have them contact Lynn Cooper or Jolene Berke.
