Call to Order
Meeting was called to order at 5:35pm by President Jennifer Welker. Agendas and previous minutes were made available to all that attended. Eva Linn made a motion to approve minutes as written and the motion was seconded by Alexis McNeal.
Treasurer’s Report
Linda Johnson, Treasurer provided an overview of the financials. In February there were $3020.43 in deposits into the General Account. Checks written totaled $1743.87. The total amount in the General Account at the end of February was $22,977.98. The total amount in the Student Savings account at the end of February was $12,186.20.
Big Band Dance
Big Band Dance is coming soon! Stacy Bean gave an update on the Big Band Dance which is coming up on April 7th from 7-10pm at the Kearney High School commons area. This is the first year for it to be held at the high school and we are looking forward to this being a huge success; raising both money for the Jazz Band program and providing a great time for all!
The committee is looking for volunteers for 4 different areas to make the Dance a huge success. Advertising – Stacy is having 450 door hangers printed for students to put on the door knobs for people in their neighborhoods to advertise the upcoming event. Each band student is asked to take 10 home to distribute. There will also be 100 posters to distribute throughout the community to hang at coffee shops, work places and in store front windows. Both door hangers and posters should be printed by the end of the week March 17th.
Food. Volunteers to cut desserts and prepare drinks along with overseeing the food table from 6:30-10:00pm the night of the event. Stacy is reaching out to Sororities and Fraternities, but volunteers are also needed. Raffle Baskets – The committee is looking for donations for the baskets to be raffled off the night of the event. Themed baskets (ie movie night) are one idea or you can just donate items to be put into the baskets. Decorating – Stacy is looking for a group of people to come up with decoration ideas and to decorate prior to the event on April 7th. If you can do any or all of these volunteer opportunities place contact someone on the Executive Board, Stacy Bean, Lauren Harbols or one of the directors. Jennifer Welker will be sending out a Sign-Up Genius as well to sign up for volunteering for the Big Band Dance. Lastly there is a need for stage lighting to be donated for the night of the dance. If you have lights and stands please contact Rick Mitchell.
Fundraising
Currently the Band is selling Hy-Vee coupon books. Each book costs $7.00 with $5.00 going into your student’s band account. There are about $90.00 worth of savings in each coupon book. The books will be on sale until March 27th. All unsold books and money are due to be turned in on March 27th.
We are selling tickets to the Big Band Dance this year. Tickets will be $10.00 and $2.00 will go into the student’s band account for every ticket they sell. Students who buy a ticket will also get a free dessert at the event. Each ticket bought ahead of time will also make you eligible for the raffle. If you buy your ticket at the event then raffle tickets will be in addition to your ticket price.
Scrip – Don’t forget Scrip is a great way to add to your student’s band account just by purchasing groceries and other items throughout each month. If you have questions about Scrip please contact our Treasurer Linda Johnson.
General Business
Executive Committee elections are to be held at the April meeting. It is vital to the future of the Band Parent Organization that we have an Executive Committee. As a 501c3 organization and as part of our by-laws we have to have an Executive Committee. Please consider being a part of the decision making team and support for the Directors and band program by taking on one of the following roles. Incoming President – this is a 3 year commitment. As the Incoming President you learn about the organization and the role of the President the first year. The 2nd year you become the President, the 3rd year you are part of the Executive Committee in an advisory role. Also needed is a Secretary – This is a 2 year commitment. As the Secretary you would attend the monthly Executive Committee meeting and General meeting, taking notes and preparing the notes for the archives. And preparing the monthly newsletter article that goes in the Kearney High School newsletter. Also needed is an Incoming Treasure – This is a 2 year commitment. The Treasurer is responsible for all money transactions into and out of the KBPA accounts. And for preparing for the monthly financial reports. Please contact any of the current Executive Committee members if you have questions or are interested in one of the positions.
We are also needing to line up all key volunteer positions for next school year. Currently we are in need of a Chairperson for the Uniform Committee, and a Co-Chair for the Concession Stand/Stadium Clean-up committee.
Scholarship Review – Seniors are eligible to apply for a scholarship from the KBPA. Scholarship information is available through KHS counseling office or the website kearneybands.org/. Scholarship applications are due by March 17th.
Color Guard – The Color Guard has been selected for next year. There is an important meeting on March 14th from 6:00-7:00pm for all parents and students in Color Guard for the 2017-2018 school year.
Soup Supper results – by partnering with the Booster Club to do a Soup Supper/Pie dessert event prior to a basketball game we were able to raise $772.46 for the KBPA. Thank you to all who donated pies or volunteered for the event.
Wesleyan University – Thank you to all who donated food or accommodations for the students from Wesleyan. It was an excellent event! By selling left over desserts the night of the concert we were able to raise $109.00.
Director’s Comments
Mr Mitchell said that District Music Contest participants will be announced before Spring Break. There are still some spots open for the Branson trip the end of May 2018. The trip will be about $600.00 There was a powerpoint presentation sent out for those who were not at the kick-off meeting.
Mr Lefeber highlighted the new website. A lot of work and thought went into the website to make it user friendly and useful. Go to kearneybands.org/ to check it out. He also announced that it is most likely we will be hosting the NSBA competition this next fall. This is a huge opportunity for the Band, the High School and the Kearney community.
